Personal information we collect
We collect only the personal information we need for the purposes described in this Notice. The categories we may collect are:
- Your name and contact details (such as email address, telephone number, and, where relevant, business or facility address);
- Your company name and information about your business or facility (such as industry, province, monthly energy spend range, and energy goals);
- The contents of your message or enquiry; and
- For job applicants: the information in your application, including your cover note and any résumé or CV you upload (which may contain your employment and education history).
How we use your personal information
We use personal information for the following purposes:
- To respond to your enquiry and follow up about your request or consultation;
- To provide, quote, and discuss our products and services, and to manage our relationship with you and your organization;
- To manage our customer and prospect records in our customer relationship management (CRM) system;
- To send you our newsletter or other commercial electronic messages where you have consented, and to manage those communications (see Section 6);
- To assess job applications and manage our recruitment process;
- To operate, maintain, secure, and improve the Website, including analytics where you have consented; and
- To comply with our legal obligations and to establish, exercise, or defend legal claims.
We collect, use, and disclose your personal information with your consent, which may be express or implied depending on the sensitivity of the information and the circumstances. How we disclose your personal information
We do not sell, rent, or lease your personal information. We may disclose it in the following limited circumstances:
Cookies, analytics, and your choices
Cookies are small text files placed on your device. We use a limited number of cookies and similar technologies to operate the Website and, where you consent, to understand how visitors use it.
Retention and safeguards
- Customer records (CRM): for the duration of our relationship with you and your organization, and for 7 years afterward, to support warranty, ongoing service, tax, and recordkeeping obligations and applicable limitation periods;
- Prospects and unconverted leads: for up to 24 months after our last meaningful contact, after which the records are deleted or anonymized;
- Newsletter subscribers: until you unsubscribe or ask us to remove you;
- Unsuccessful job applicants: for up to 12 months after the recruitment process concludes, so that we may consider you for future roles, unless you ask us to delete your information sooner.
Newsletter and commercial electronic messages
If you sign up for our newsletter or otherwise agree to receive commercial electronic messages from us, we will send you communications such as company news and insights about energy solutions. We send these messages in accordance with CASL.
Every commercial electronic message we send will identify Green Integrations as the sender, include our contact information, and provide a simple way to unsubscribe. You can withdraw your consent and stop receiving these messages at any time by using the unsubscribe mechanism in the message or by contacting our Privacy Office. We will give effect to your request promptly.
Storage and processing outside Canada
Some of our service providers — including Zoho — may store or process personal information on servers located outside Canada. As a result, your personal information may be subject to the laws of the jurisdictions in which it is stored or processed, and may be accessible to courts, law enforcement, and regulatory authorities in those jurisdictions in accordance with their laws.
Where personal information is transferred to a service provider for processing, we use contractual and other reasonable measures to require that it receives a comparable level of protection. Your rights, access, and correction
Subject to applicable law, you may ask to access the personal information we hold about you, to correct it if it is inaccurate or incomplete, or to withdraw your consent to its use. To make a request, contact our Privacy Office using the details below. We will respond within the time required by PIPEDA and may need to verify your identity before acting on your request.
